Excel 2007 Cell Comments

Excel 2007 cell comments allow you to add notes or other information to a worksheet. Comments act as virtual “sticky notes”.

Adding a Comment to a Cell

To add a comment to a cell,

  1. Click in the cell to hold the comment.
  2. Click the New Comment button in the Comments group of the Review tab.

    NOTE: Alternately, press Shift + F2 to add a comment.
  3. Click in the “sticky note” and type your comment.
  4. Click away from the note when finished.
    Cells with comments are identified by a red triangle in the upper right corner of the cell.

Reading Comments

To view an existing comment, mouse over the cell containing the comment (noted by the red triangle).

Showing and Hiding Comments

Individual Cell(s)

To show or hide a comment,

  1. Click in the cell containing the comment.
  2. Click Show/Hide Comment in the Comments group of the Review tab.

    The Show/Hide Comment button is a toggle. Click to turn-on, click again to turn-off.

Entire Worksheet

To show or hide all comments for the workbook, click the Show All Comments button located in the Comments group of the Review tab.

Editing Comments

To edit a comment,

  1. Click in the cell containing the comment.
  2. Click Edit Comment in the Comments group of the Review tab.
    NOTE: Alternately, press Shift + F2 to open and edit a comment.
  3. Edit the comment as desired.

Formatting Comments

The formatting for comments can be edited. By default, comments appear in 8pt Tahoma.

To format a comment,

  1. Click in the cell containing the comment.
  2. Click Edit Comment in the Comments group of the Review tab.
    NOTE: Alternately, press Shift + F2 to open the comment.
  3. Highlight the comment text to format.
    • Right-click and choose Format Comment. Select the appropriate formatting options from the Format Comment screen.

      -OR-
    • Select the appropriate formatting options from the Font group of the Home tab.

Changing a Comment Shape

The shape of your comments can be changed by using the Edit Shape button which can be added to the Quick Access Toolbar.

To add the Edit Shape button to the Quick Access Toolbar,

  1. Click the Customize Quick Access Toolbar button at the right end of the Quick Access Toolbar.

  2. Choose More Commands. The Customize Quick Access Toolbar screen opens.
  3. Choose All Commands from the Choose Commands From dropdown.

  4. Scroll down and select Edit Shape.
  5. Click Add in the center of the screen.
  6. Click OK. The Edit Shape command is added to the Quick Access Toolbar.

Changing the Shape of a Comment

  1. Click the comment to change to change the shape of.
  2. Click the Edit Shape button on the Quick Access Toolbar.
  3. Select Change Shape and then the desired shape from the list.

    The shape of the comment changes to the selected shape.

Printing Comments

Comments can be printed as displayed or at the end of the worksheet.

To print comments,

  1. Show (all or individual) comments for the worksheet as outlined above.
  2. Click the dialog box launcher in the Page Setup group of the Page Layout tab.

  3. Click the Sheet tab.

  4. Choose At end of sheet or As displayed on sheet from the Comments dropdown.

  5. Click OK.
  6. Click the Microsoft Office Button | Print.
  7. Choose the appropriate printing options and click OK. The worksheet prints with comments.

Deleting Comments

To delete a comment,

  1. Click in the cell containing the comment to be deleted.
  2. Click Delete in the Comments group of the Review tab. The comment is deleted.
